Why hire a Zapier expert?
Zapier is the most accessible automation platform on the market, which is its strength and its weakness. The strength is that anyone in your business can build a working Zap in an afternoon. The weakness is that anyone in your business has built a working Zap in an afternoon — and now you have 47 of them, half don't work, nobody knows which ones are still being used, and the monthly bill has crept past £400.
A Zapier expert solves three classes of problem:
- The build problem. Designing Zaps that won't break — proper error handling, monitoring, sensible task budgets, branching with Paths.
- The maintenance problem. Auditing existing Zaps, killing the dead ones, fixing the broken ones, documenting the live ones.
- The cost problem. Either optimising what you're running on Zapier (most accounts can cut their bill 30–60%) or migrating to Make.com / n8n when the maths says it's time.
When Zapier is the right tool
Zapier is the right answer for:
- Simple 1–3 step workflows.
- Non-technical teams that need to own and edit the automations themselves.
- UK small businesses with task volume under ~2,000 per month.
- Niche integrations Zapier supports that Make and n8n don't (Zapier has the largest integration library by a margin).
- Prototyping a new workflow quickly before committing.
Zapier is not the right tool when:
- The workflow needs significant branching or data transformation (Make.com is a better visual canvas).
- You're paying more than £200/month for tasks (n8n or Make is materially cheaper).
- You need self-hosting for compliance (n8n self-hosted).
- You're building serious AI agent workflows (n8n's agent framework is stronger).

The three engagement shapes we deliver most often
1. New Zap builds (£4k–£15k)
For UK SMEs with a clear workflow to automate but no internal capacity to build it well. We design with proper error handling, monitoring, sub-Zaps where they help, Paths for branching, Code by Zapier where the no-code limit hits. Each Zap gets documentation and ownership.
2. Zap rescue audits (£3k–£8k)
For businesses with a graveyard of Zaps that mostly work but break unpredictably. We audit every active Zap, identify the ones worth keeping, fix the ones that are broken, kill the ones nobody uses, and set up monitoring so the next failure isn't silent. Usually pays back in 3 months on saved staff time.
3. Migrations to Make.com or n8n (£8k–£18k)
For businesses whose Zapier bill has grown past £200–£400 per month and want to escape the task-counting pricing model. We rebuild each Zap in the new platform, run both in parallel for 1–2 weeks to verify outputs match, then cut over. Typically pays back inside 6 months on platform cost alone.
Why we don't recommend Zapier for everything
Zapier's pricing model becomes punishing at scale. A 5-step Zap firing 1,000 times a month = 5,000 tasks. A 10-step Zap firing 5,000 times a month = 50,000 tasks. Most UK SMEs who grow past £200/month on Zapier discover that the same workload on Make.com would cost £50/month and on n8n self-hosted would cost £15/month.
Commissioned Zapier consultants have a reason not to mention this. We don't. If you're approaching the cost cliff, we'll tell you, and we'll do the migration.
What does a Zapier project cost?
Four shapes, all flat-fee:
- Small build (1–3 Zaps with proper error handling): £3k–£5k.
- Standard build (5–10 Zaps + monitoring): £6k–£12k.
- Zap rescue audit (existing portfolio): £3k–£8k.
- Migration to Make.com or n8n (10–30 Zaps): £8k–£18k.

What to look for in a Zapier consultant
- Are they Zapier-only, or platform-fluent? Zapier-only consultants recommend Zapier for everything. Cross-platform consultants pick the right tool per workflow.
- Will they audit existing Zaps before recommending new builds? Anyone who jumps straight to building without auditing is missing the highest-ROI work.
- Do they set up monitoring? Without it, broken Zaps stay broken until someone notices a downstream failure.
- Flat fee, not hourly? Hourly billing on Zapier work creates the wrong incentive.
- Will they tell you when to leave Zapier? Honest consultants will. Commissioned ones often can't.
