Why hire an n8n consultant?

n8n is open-source automation done seriously. Unlike Zapier and Make.com, it's fair-code licensed and can be self-hosted, meaning your data never leaves your infrastructure. Combined with the strongest native AI agent framework of any no-code platform in 2026, it's increasingly the platform we reach for first at Watermelon.

But it's also the one most likely to be built badly. n8n is powerful enough that DIY builds can ship in an afternoon — and then fail silently a month later because nobody set up monitoring, retries, error handling, version control or backups. An experienced n8n consultant brings the engineering discipline that turns a working workflow into a production workflow.

When n8n is the right choice

n8n wins when:

  • You're running 10k+ operations per month and want to escape Zapier/Make pricing (typically 4–10× cheaper at scale).
  • You need to self-host for compliance, data sovereignty or cost reasons — your data stays in your AWS/GCP/Hetzner account.
  • You're building AI agent workflows (tool use, memory, multi-step reasoning) — n8n's AI Agent node ecosystem is the strongest in 2026.
  • You have at least some engineering capacity to maintain a small Linux VM (or you're happy with n8n Cloud).
  • You want git-friendly workflow definitions and a proper staging/production split.

n8n is not the right choice when:

  • You're a non-technical team running 1–3 step workflows — Zapier is more accessible.
  • You don't have engineering capacity and don't want to use n8n Cloud — self-hosting becomes an unowned liability.
  • Your workflows are mostly inside one platform (HubSpot Workflows, Shopify Flow, Salesforce Flow) — use the native automation.

n8n for AI agents — why it matters

The AI Agent landscape moved fast through 2025–2026. Production AI agent workflows now routinely need: tool use (calling APIs), memory (per-user state), evaluation (catching regressions), observability (knowing what the agent actually did) and reliability (handling failure gracefully). LangChain and LlamaIndex give you the components but require Python engineering. Make.com and Zapier's AI nodes are too simple for serious agent work.

n8n hits the sweet spot. The native AI Agent node has tool use built in. Sub-workflows let you compose multi-step reasoning. Memory persists across conversation turns. Combined with self-hosting (so OpenAI/Anthropic API keys and customer data stay in your perimeter), it's the production platform for AI agents in regulated industries.

At Watermelon we've built agent workflows for ticket triage, CV parsing and matching, contract redlining, RFP first-drafts and product feedback synthesis. n8n is increasingly the default.

Zapier and Make migrations to n8n

The most common reason businesses come to us specifically for n8n is migration. The pattern: started on Zapier 2 years ago, grew, hit £400/month in tasks, looked at the maths, realised n8n self-hosted would cost £10/month for the same workload. Migration pays back inside 6 months on platform cost alone.

We do this regularly. A typical 20-workflow migration takes 1–3 weeks: rebuild in n8n, run in parallel for 1–2 weeks to verify outputs match, then cut over.

What does an n8n project cost?

Three shapes, all flat-fee:

  • Self-hosting setup + 2–3 starter workflows: £6k–£10k. Right when you've decided on n8n and need the infrastructure done right.
  • Standard build (5–8 workflows): £15k–£25k. Most common UK SME engagement.
  • AI agent workflow project: £20k–£35k. Includes evaluation harness, observability and rollout plan.
  • Zapier or Make migration: £8k–£18k depending on workflow count.

Fractional CAO retainer afterwards: £5k–£15k per month.

Ongoing n8n cost: self-hosted is £5–£40 per month in VM rental. n8n Cloud is £20–£500 per month depending on volume.

What to look for in an n8n consultant

Five checks:

  1. Can they actually self-host n8n? Plenty of "n8n consultants" only know n8n Cloud. If you want to self-host for compliance or cost, you need someone who's done it before.
  2. Do they have AI agent experience? Building a Make scenario that calls OpenAI is not the same as building a production agent. Ask for examples.
  3. What's their git / version control workflow? Workflows are code. Without version control, they decay.
  4. What's their observability setup? Without monitoring and alerting, failures are silent.
  5. Are they cross-platform? Anyone who only knows n8n will recommend n8n for everything. We pick the right tool per workflow.
