Bullhorn consultants for UK recruitment agencies

Make the Bullhorn you're already paying for actually run your desk. Automation, integrations, data hygiene and reporting — flat fee, no licence reselling, no commissions.

Why independent matters

We're not a Bullhorn Marketplace partner.

Much of the Bullhorn consulting and app market runs on the Marketplace partner model — consultants and vendors who earn commission on the apps and add-ons they recommend. That funds a lot of activity, but it biases the advice toward what pays the recommender. We don't resell Bullhorn licences or Marketplace apps and we earn nothing on your subscription. Our income is your fee, which keeps the recommendations honest — including when the right answer is a cheaper tool or a custom build.

  • No licence or app commissions — Zero kickbacks from Bullhorn or any Marketplace vendor. We recommend what fits your desk, not what pays us.
  • Cross-CRM fluency — We know Bullhorn deeply but also work with Vincere, JobAdder, Mercury and others. We'll tell you honestly if Bullhorn isn't right — though it usually is.
  • Build, don't resell — We implement and automate. The Bullhorn licence is a decision you make with Bullhorn directly.
What we build in Bullhorn

The Bullhorn work we ship most often

The patterns repeat across UK perm, contract and temp agencies. These are the highest-ROI builds.

Data hygiene & deduplication
Automated dedup, standardisation, status hygiene and ongoing data-quality monitoring. The single biggest problem in most Bullhorn instances — a clean database that stays clean, not cleaned once and left to decay.
Candidate journey automation
CV parsing, screening prompts, status-driven comms, interview scheduling, compliance-doc collection. The repetitive consultant admin around each candidate, automated end to end.
Candidate & client engagement
Nurture, reactivation of dormant candidates and clients, redeployment prompts, status-triggered outreach — built properly in Bullhorn Automation (Herefish), which most agencies barely use.
Integrations
Bullhorn connected to job boards, LinkedIn Recruiter, finance and pay-and-bill, e-signature, comms and your website — via the REST API, Make or n8n. The data stops being re-keyed between systems.
Reporting & dashboards
Meaningful reporting on Bullhorn data — desk performance, pipeline, time-to-fill, consultant activity, gross profit — beyond Bullhorn's native reports, in a dashboard managers actually use.
Compliance automation
For contract and temp desks: right-to-work, references, certifications, AWR tracking and document collection automated, with audit trail — so compliance stops being a manual chase and an audit risk.
How we deliver

A four-phase Bullhorn engagement, priced flat

No hourly billing. Fixed price for the project. You see what you're paying and what you're getting before we start.

1
1. Discovery (1–2 weeks)

We sit with your consultants and ops team, audit your Bullhorn setup and data, and map where admin and data problems cost billings. Output: a prioritised build list with predicted ROI.

2
2. Strategy (3 days)

We pick the highest-ROI builds first — usually data hygiene and candidate-journey automation. You sign off on the case for each before we build.

3
3. Build (3–6 weeks)

Built in Bullhorn Automation, the REST API, Make or n8n as appropriate, alongside your ops lead. Tested against real data before going live, with consultants in the loop so they trust it.

4
4. Handover & 90-day review

Documentation, training and a check-in 90 days after launch. Retainer or done — your call.

Why hire a Bullhorn consultant?

Bullhorn is the dominant ATS/CRM for UK recruitment agencies of any scale — and, like most powerful platforms, badly under-used. Most agencies paying for Bullhorn (and often Bullhorn Automation alongside it) are using a fraction of what they're entitled to. Consultants spend hours a day on admin Bullhorn could automate; the database is full of duplicates and dead statuses that make it hard to search and impossible to report on; and Bullhorn Automation, if owned, sits largely idle.

A Bullhorn consultant brings the discipline to actually run your desk on the system you're paying for. The work splits into a few buckets:

  1. Data hygiene. The foundation. A clean, well-structured database that stays clean.
  2. Automation. Removing the repetitive consultant admin around the candidate and client journey.
  3. Integration. Connecting Bullhorn to the rest of your stack so data flows instead of being re-keyed.
  4. Reporting. Turning Bullhorn data into management information consultants and directors actually use.
  5. Compliance. For contract and temp desks, automating the document and check workflows that are otherwise a manual chase and an audit risk.

Data hygiene: where most Bullhorn projects should start

If you ask a room of UK recruiters what's wrong with their Bullhorn, the answer is almost always the data. Duplicate candidate records, out-of-date statuses, inconsistent formatting, fields used differently by every consultant, and no enforced standards. The consequences compound: consultants can't trust search, managers can't trust reports, and Bullhorn Automation can't target properly because the data it keys off is wrong.

We treat data hygiene as an automation problem, not a one-off cleanup. Automated deduplication, standardisation rules, status-hygiene workflows that prompt or auto-correct, and ongoing data-quality monitoring — so the database is cleaned and then stays clean, rather than being scrubbed once and decaying back within months. For most agencies this is the highest-ROI Bullhorn project available.

Candidate journey and engagement automation

The second big bucket is the repetitive admin around each candidate and client. CV parsing and enrichment, screening prompts, status-driven communications, interview scheduling, compliance-document collection, placement workflows. Each is a small task; multiplied across every candidate and every consultant, they're a huge drain on billing time.

Much of this lives in Bullhorn Automation (the product formerly called Herefish), which is genuinely powerful for nurture, reactivation, redeployment and status-triggered outreach — and which most agencies that own it barely use. We build it out properly. Where Automation isn't the right tool for a given workflow, we use the Bullhorn REST API or Make/n8n instead. And we'll tell you honestly if you're paying for Automation and not using it.

Integrations

Bullhorn rarely lives alone. It needs to talk to job boards and aggregators, LinkedIn Recruiter, your website and application forms, finance and pay-and-bill systems (especially for contract and temp), e-signature, and comms tools. When those connections are manual, consultants and ops re-key data between systems and errors creep in. We build the integrations — via the REST API, Make or n8n — so the data flows automatically.

This is the same back-office integration discipline we apply across every function; the operations page covers the general pattern, and this page is the recruitment-specific application of it.

Reporting that managers actually use

Bullhorn's native reporting is limited. Agencies that want real visibility — desk performance, pipeline health, time-to-fill, consultant activity, gross profit per desk — usually need a reporting layer built on top of Bullhorn data. We build dashboards that answer the questions directors actually ask, pulled live from Bullhorn, rather than assembled in a spreadsheet every Monday.

Compliance automation for contract and temp

Contract and temp desks carry compliance obligations that perm desks don't: right-to-work checks, references, certifications, AWR (Agency Workers Regulations) tracking, and document collection, all with an audit trail. Done manually it's a constant chase and a real audit risk. We automate the collection, tracking and alerting so compliance is enforced by the system rather than by someone remembering.

How Watermelon differs from a Bullhorn Marketplace partner

Much of the Bullhorn ecosystem runs on the Marketplace partner model — consultants and app vendors who earn commission on what they recommend. It's a legitimate model, but it biases advice toward the apps that pay. Watermelon is deliberately independent: we don't resell Bullhorn licences or Marketplace apps, and we earn nothing on your subscription. So we'll recommend a cheaper tool, a custom build, or simply using what you already own better — advice a commissioned partner has no incentive to give.

What does a Bullhorn project cost?

Four common shapes, all flat-fee:

  • Data hygiene overhaul: £8k–£15k.
  • Candidate-journey / Automation build: £8k–£15k.
  • Integration project (finance, job boards, comms): £12k–£20k.
  • Full optimisation or post-merger consolidation: £20k–£35k.

Fractional CAO retainer afterwards: £5k–£15k per month. We bill flat fees, never hourly, and take no commissions.
