Airtable consultants and experts for UK businesses
Airtable used properly — as a relational database with workflows and interfaces, not a fancier spreadsheet. Independent. Flat-fee builds. Your team owns the base.
Most Airtable bases were built as spreadsheets.
They work for six months, then they hit a wall. Linked records become rotten because the schema was wrong. Automations break because they fire too often or in the wrong order. Interfaces don't get used because they were never designed around the actual user. A consultant who knows Airtable as a database — not as Excel with rounded corners — gets you past the wall.
- Relational thinking first — Proper linked tables, lookup fields, rollups and primary fields — designed for the next 5 years, not the next 5 weeks.
- Automations done properly — Airtable Automations with error handling and proper triggers. External orchestration via Make.com or n8n where the native ones can't reach.
- Interface Designer for non-technical users — Custom apps your team uses every day, without ever touching the underlying base directly.
The most common Airtable engagements for UK SMEs
A four-phase Airtable engagement, priced flat
We shadow your team, audit your current Airtable (or spreadsheets), interview the daily users.
Relational schema, primary fields, linked tables, view strategy. Reviewed with your ops lead before building.
Tables, automations, scripts, Interfaces, integrations. Your team in the room throughout.
Documentation, training, monitoring setup. 90-day check-in on adoption and any gaps.
Why Airtable, and why now
Airtable sits in a sweet spot that nothing else quite owns. It's database-shaped enough to handle real relational data, no-code enough that ops people can use it without engineers, and flexible enough that the same base can power a CRM, a project tracker, a content calendar and an inventory system. For UK SMEs at 10–80 staff, a well-designed Airtable base often replaces three or four SaaS tools.
The catch is that Airtable rewards good design and punishes bad. A base built as "spreadsheet with prettier formatting" feels great for the first six months and then quietly becomes the bottleneck — duplicated data, broken automations, abandoned views, people working around it instead of with it.
A good Airtable consultant designs it properly the first time, or rebuilds it properly when you've outgrown the spreadsheet thinking.
When Airtable is the right tool
Airtable wins when:
- You need relational data (linked tables, lookups, rollups), but you don't have engineering capacity to build a real database.
- You want non-technical users to interact with the data via custom Interfaces.
- The data volume is in the 100s to 10,000s of records per table.
- The workflows can mostly be expressed in Airtable Automations.
Airtable is not the right tool when:
- Your data volume is 100,000+ rows per table — Airtable's limits and performance start to bite.
- Your needs are document-heavy with light databases — Notion is a better fit.
- The data is going to power a customer-facing product — use Postgres, Supabase or Firebase.
- You need real-time collaboration on rich documents — Notion or Coda.
What we typically build in Airtable
The patterns repeat:
- Operations platforms — projects, resources, capacity, deliverables.
- CRM-light for businesses where HubSpot/Salesforce is overkill.
- Content and editorial calendars for marketing teams.
- Internal tools consolidating spreadsheet sprawl.
- Migrations in (from spreadsheets) and out (to Postgres) when the base has outgrown.
- Integrations to the wider stack via Make.com or n8n.
What does an Airtable project cost?
Three shapes, all flat-fee:
- Schema redesign + key automations: £5k–£10k.
- Full ops platform with Interfaces: £10k–£20k.
- Migration (in or out): £8k–£18k.
Fractional CAO retainer afterwards: £5k–£15k per month.
Airtable itself: Free, Team (£24/user/mo), Business (£54/user/mo), Enterprise. We'll right-size your plan during discovery.
